Refund Policy

DONATION REFUND & CANCELLATION POLICY

We deeply value the generosity and support of our donors.

This Donation Refund & Cancellation Policy explains the circumstances under which a donation made through our website **[Website URL]** or other authorised payment channels may be cancelled or refunded.

## 1. Donations are Voluntary

All donations made to **[NGO/Trust Name]** are voluntary contributions intended to support our charitable objects, programmes, beneficiaries and activities.

Donors are requested to carefully verify the donation amount, donor details, selected programme/campaign and payment information before completing a transaction.

## 2. General Refund Policy

As donations are voluntary contributions towards charitable purposes, **successfully completed donations are generally non-refundable** once received by the Organisation.

However, we understand that genuine errors can occur. We may consider refund requests in exceptional circumstances in accordance with this Policy and applicable law.

## 3. Circumstances Where a Refund May Be Considered

A refund request may be considered in cases such as:

* The same donation was accidentally made more than once;
* An incorrect donation amount was entered due to a genuine error;
* The donor can demonstrate that the transaction was unauthorised;
* Money was debited despite a failed transaction and subsequently credited to the Organisation;
* A technical error in our website or payment system resulted in an unintended transaction;
* A refund is required under applicable law, banking rules or directions of a competent authority; or
* Any other exceptional circumstance that the Organisation considers appropriate after verification.

Approval of any refund shall remain subject to verification and applicable legal, banking, tax and regulatory requirements.

## 4. Time Limit for Requesting a Refund

A donor requesting a refund should contact us within **7 days from the date of the donation**.

Requests received after this period may not ordinarily be considered, particularly where the donated amount has already been allocated, committed or utilised for charitable activities.

However, where a refund is required by applicable law or regulatory direction, the applicable legal requirement shall prevail.

## 5. How to Request a Refund

To request a refund, please email us at:

**Email:** [Official Email Address]

Please provide:

* Donor's full name
* Registered email address/mobile number
* Date of donation
* Donation amount
* Transaction/Payment ID
* Payment method
* Reason for requesting the refund
* Copy of transaction receipt or payment confirmation, if available

We may request additional information reasonably necessary to verify the transaction and the identity of the donor.

**Never send your OTP, UPI PIN, CVV, internet banking password or complete card credentials to us.**

## 6. Verification and Approval

Submitting a refund request does not automatically entitle the donor to a refund.

Each request will be reviewed based on:

* Transaction records;
* Reason for the request;
* Availability/status of the donated funds;
* Whether a donation receipt or tax certificate has been issued;
* Applicable payment gateway or banking requirements; and
* Applicable laws and regulatory requirements.

The Organisation reserves the right to approve or reject a refund request where legally permissible.

## 7. Refund Processing

If a refund request is approved, we will endeavour to initiate the refund within **7–15 working days** after approval and completion of necessary verification.

Actual credit to the donor's account may take additional time depending upon the bank, card network, UPI service or payment gateway.

Where technically and legally possible, refunds will ordinarily be made to the **same payment method/account from which the original donation was received**.

The Organisation may decline requests to refund donations to an unrelated third-party bank account or payment instrument.

## 8. Payment Gateway Charges

Where a payment gateway, bank or other service provider has deducted transaction charges that are non-refundable to the Organisation, the refund amount may be adjusted to the extent legally permissible.

Where applicable law or payment-provider rules require a full refund, those requirements will prevail.

## 9. Tax-Deductible Donations / 80G

Where the Organisation holds a valid approval under the applicable income-tax provisions and a donation is eligible for tax deduction, the appropriate donation receipt/certificate may be issued in accordance with applicable law.

If a donation is subsequently refunded, the donor **must not claim a tax deduction in respect of the refunded amount**.

Where a donation receipt, certificate or statutory donation record has already been generated, the Organisation may cancel, correct or revise the relevant records as required under applicable tax law and reporting procedures.

The donor agrees to cooperate by providing information reasonably necessary for such correction.

## 10. Donations Already Utilised or Committed

Donations may be allocated or utilised for charitable programmes shortly after receipt.

Therefore, except where required by law, a refund may not be possible if the donation has already been:

* Utilised for a charitable programme;
* Distributed to beneficiaries;
* Used to procure goods, food, medicines, educational materials or other assistance;
* Committed to a project or service provider; or
* Otherwise irrevocably allocated towards the Organisation's lawful charitable objects.

For this reason, donors are requested to carefully verify all details before making a donation.

## 11. Campaign-Specific Donations

Where a donation is made towards a particular programme, project, beneficiary or fundraising campaign, we will endeavour to use the funds for the stated purpose.

If the stated purpose is completed, cancelled, becomes impracticable, or receives funds beyond its reasonable requirements, the Organisation may, subject to applicable law and any binding donor restriction, use the remaining funds for another lawful charitable purpose consistent with the Organisation's objects.

## 12. Recurring Donations

If the website offers recurring donations, donors may request cancellation of **future recurring payments** by contacting us at **[Email Address]** or through the applicable payment facility.

Cancellation of a recurring instruction will ordinarily apply to future payments only and will not automatically result in the refund of donations already successfully processed.

Donors should submit cancellation requests sufficiently before the next scheduled payment date.

## 13. Failed or Pending Transactions

If your account has been debited but our website displays the transaction as failed or pending, please do not immediately repeat the transaction.

Please first check your bank/payment account and contact us at **[Email Address]** with the transaction reference number.

In some cases, failed transactions are automatically reversed by the bank or payment service provider without the funds ever being received by the Organisation.

Where the Organisation has not received the funds, the donor may need to contact the relevant bank or payment provider regarding the reversal.

## 14. Chargebacks and Payment Disputes

If you believe a transaction is unauthorised or incorrect, we encourage you to contact us promptly so that we can investigate it.

Where a chargeback or payment dispute is initiated through a bank or payment provider, we may provide relevant transaction records to the payment provider as reasonably necessary to investigate and resolve the dispute, subject to applicable law and our Privacy Policy.

## 15. Foreign Contributions

Where a donation constitutes a **foreign contribution**, it will be accepted, handled and, where applicable, returned only in accordance with the **Foreign Contribution (Regulation) Act, 2010 (FCRA)**, rules made thereunder, banking requirements and other applicable regulatory directions.

This section applies only where **[NGO/Trust Name]** is legally authorised to receive the relevant foreign contribution.

A foreign contribution should not be made to the Organisation unless the Organisation is legally authorised to accept it.

Any refund or return of a foreign contribution will be processed only after considering applicable FCRA, banking and regulatory requirements.

## 16. Donations in Kind

This online refund policy primarily applies to monetary donations.

Donations made in kind, including food, clothing, medicines, books, equipment or other goods, will ordinarily not be returned once accepted, distributed, consumed or deployed for charitable purposes.

Acceptance and return of donations in kind shall be subject to the Organisation's applicable policies and legal requirements.

## 17. Fraudulent or Suspicious Transactions

The Organisation reserves the right to withhold, reject, reverse or report a transaction where we reasonably suspect fraud, money laundering, misuse, unauthorised payment activity or violation of applicable law.

We may request identity, payment or other information necessary for verification before processing a refund.

Where required, suspicious transactions may be reported to the appropriate bank, payment provider or competent authority.

## 18. Changes to This Policy

We may revise this Donation Refund & Cancellation Policy from time to time to reflect changes in our programmes, payment systems, operational requirements or applicable laws.

The latest version will be published on our website with the revised **“Last Updated”** date.

### IMPORTANT NOTICE

Donations are voluntary and, once successfully received and utilised or committed towards charitable activities, are generally non-refundable except where a refund is approved under this Policy or required under applicable law.

Any tax benefit is subject to the Organisation's applicable approval and the donor's eligibility under prevailing income-tax law.
